Full payment must be made via credit card or mailed and received three weeks prior to the event. Sponsorship fee includes all elements as outlined in the sponsorship prospectus. You may complete the reservation form online but all payments must be made by credit card or by mail.
Upon completion of this form, this shall be a legally binding contract between the applying organization and MEEA; provided that either party may cancel this contract on the condition that written notice of such cancellation is received by the other party at least 60 days prior to the scheduled opening date of the virtual event as provided herein. The amount of the fee paid that will be refunded is based on cancellation date and only on condition that such cancellation is made in writing and approved by MEEA.
The following Cancellation Policy applies:
A cancellation fee of $750 will be charged if the sponsorship is canceled from the point of receipt by MEEA through 61 days prior to the conference. Cancellation between 60 and 30 days prior to the conference will result in forfeit of the 50% deposit. Cancellation 29 days or less will result in forfeit of the entire fee.
In the unlikely event that the Midwest Energy Solutions Conference 2025 is canceled due to circumstances beyond our control (e.g., natural disasters, public health emergencies, government restrictions, or other unforeseen events), sponsorship dollars will be applied to a virtual conference or similar event, with any remaining balance either refunded or applied to a future event, such as the 2026 conference. This policy applies only to cancellations of the in-person event initiated by MEEA. For cancellations initiated by the Sponsor for any reason, the standard cancellation policy will apply.
